Validation Meetings

Validation Meetings are the formal process of reviewing either the Site Build (Mandatory) or any Change Requests (at the discretion of SellOnLine).  Validation Meetings are the formal process wherein the Client provides feedback on the Site and its Content, Styling and application.  Please note that SellOnLine do not engage in multiple meetings to discuss minor changes often as a result of lack of preparation on one parties behalf causing delays and critically adding costs.  Validation Meetings form the basis of a controlled mechanism through which both parties are prepared with the resulting outcome being closure in significantly shorter timelines.

 

Site Build Validation Meeting:

The number of Site Build Validation Meetings is determined by the Plan taken ranging from one (1) meeting to a maximum of three (3) meetings.  The Site Build Validation Meeting is the formal process to review the Site in its entirety, provide valuable feedback or requests for further change and agreement on launch/release.

A minimum of one (1) week ahead of the Validation Meeting, SellOnLine shall provide access to the Site via a URL link (at this stage the correct domain will not have been provided).  The Client shall review the Site and provide feedback preferably ahead of the Validation Meeting facilitating SellOnLine to make proposed changes ahead of the Meeting.  Please note that not all proposed changes requested may be possible, for example a Payment Gateway that may be out of the control of SellOnLine, however SellOnLine undertakes to make the request changes as quickly as possible.

During the Validation Meeting any further changes may be requested with SellOnLine responding either during the meeting or post meeting if a change is possible and if yes, estimated timeline.

In event that SellOnLine is unable to make any proposed change, agreement shall be reached within the constraints of SellOnLine coding limitations either to accept the current design or recommend an alternative course of action.  Completion of the Validation Meeting and addressing agreed changes shall constitute release and formal launch of the Site.

The Client understands that they should be available for the Validation meeting, however if unavailable then a written submission of changes may be offered as an alternative form of feedback in which case SellOnLine shall make the changes where possible and confirm completion and will then formally launch the Site.  Should the Client or their representative not be available for a Validation meeting or provide sufficient written feedback (verbal communication will not be accepted), then SellOnLine reserves the right to qualify release of the Site at its own discretion.

 

Site Change Request Validation Meeting:

SellOnLine at its discretion shall determine if a Validation Meeting is required for any Site Changes proposed, for example a change to Graphics and adding a new Product may not constitute a Validation Meeting, however something as crucial as setting up a new Payment Gateway may require a Validation Meeting to confirm such a critical action.
